SUMMARY OF POSITION:

 

The Administrative Assistant provides administrative support to the Senior Leadership Team, and will organize and coordinate office administration and procedures in order to ensure organizational effectiveness, efficiency and safety. This position is responsible for developing and streamlining administrative procedures.

Areas of Responsibility

These are general areas and is not an exhaustive list of responsibilities.

 

Senior Leadership 

• Maintains Outlook calendars and serves as the focal point in coordinating activities for the Senior Leadership Team (SLT)

• Schedules and coordinates SLT and Board of Director meetings -- coordinates all logistical requirements including location, room set up, agendas, catering, and attendee communication, and materials preparation

• Participates in meetings, takes notes, and creates minutes

• Perform, review and analysis of special projects and keeping management properly informed

• Gathers, verifies, and completes expense reports for  SLT members 

• Creates correspondence, presentations, confidential material, etc. 

• Maintains electronic executive file system

 

Colorado U.S. Department of Agriculture (USDA)

• Maintain USDA meal logs including meal counts, completing and updating the tracking spreadsheet 

• Maintain USDA forms including verifications and audits

• Prepare and submit routine reports

 

Mail Room

• Process all outgoing and incoming mail

• Oversee the contract and maintenance for the postage meter

• Responsible for uploading postage to the postage meter

• Monitor and maintain office supplies inventory

 

Copy Center 

• Order general office and copier supplies

• Copier maintenance

• Fill copy, scan, and fax requests

 

Front desk support

• Front desk coverage during lunch breaks daily

• Provide coverage during vacations and sick leave 

 

Mountain Retreat management

• Manage the calendar and general upkeep

 

Program Support

• File intake and discharge paperwork

• Send out service plans

• Contract maintenance

• Fill records requests as needed

• Schedule and coordinate transportation services for agency vehicles

 

HR, Accounting and general office duties:

• Monthly business card ordering

• Records management

• Assist with on-boarding of new employees

• Meetings management including room set up and catering

• Note taking and preparing minutes for meetings

• All other miscellaneous administrative duties and special projects

 

REQUIRED KNOWLEDGE & SKILLS:

 

• Must have well-developed written, oral, interpersonal, and negotiation communication skills with a high degree of sensitivity for confidentiality

• Must be task-oriented with an excellent sense of priority, logic and objectivity, highly organized and capable of handling a number of sensitive, confidential, and important issues simultaneously

• Must have the ability to work effectively in a diverse work group

• Must have strong administrative skills and  have advanced computer proficiency with Microsoft suite and Adobe

• Must be able to work overtime periodically

Requirements/Qualifications
  • High School diploma or equivalent
  • At least 5 years of progressively more responsible general office related experiences
  • Bachelor’s degree in business or related field preferred
