JOB SUMMARY

This position provides administrative and technical support to a 30 resident member advisory commission, the Advisory Commission for an Inclusive Community (ACIC).  Coordinates all aspects of applicant interview processes for City Boards and Commissions.  Advertise, schedule meetings, correspond both verbally and in writing with confidentiality. 

 

Areas of Responsibility

Essential Functions

  • Serves as primary contact for citizen communication with the ACIC Commission.
  • Prepares for ACIC Commission meetings.
  • Responsible for updating, modifying, distributing and maintaining the ACIC Commissioner's guide as well as the monthly commission meeting agenda, minutes and related reports.
  • Prepares minutes of the ACIC Commission meetings for acceptance by City Council. 
  • Ensures appropriate action and follow-up of City Council assignments, working closely with the chair persons of the ACIC committee obtaining and providing information.
  • Responsible for writing advertisements for openings on Boards and Commissions and meeting deadlines.
  • Facilitate communication between City Council, residents, the media, and other departments related to openings on Boards and Commissions.  Route applications, relay information that is confidential in nature and set interview schedules.
  • Produce agenda, minutes and resolutions of appointments.
  • Perform record keeping duties which include maintaining all Boards and Commissions online rosters.
  • May be required to attend evening meetings on an as needed basis.
  • Works as a team member in a busy, highly-visible environment.
  • Provides additional support to the operation of the City Clerk's office as needed.
  • Performs other duties as assigned.
Requirements/Qualifications
  • High School Diploma or Equivalent
  • At least two years of progressively responsible work experience involving a high degree of public contact and problem solving.
  • Must have strong customer contact/service background.
  • Transcription experience helpful.
  • Experience in meeting planning and support is preferred.
  • Municipal government experience is preferred.
  • Experience creating and updating web pages is preferred.
  • Experience working with Microsoft Office Suite.
  • Must be able to obtain Notary designation and adhere to requirements within 3 months of hire.
  • Must become a Passport Acceptance Agent within 3 months of hire.
Compensation/Benefits

Hiring Range: $36,524.80 - $47,424.00 Annually
