Job Description: 

The Program Assistant is responsible for providing support to the Residential Team. This position participates in team and departmental projects and other responsibilities as needed. Program Assistant has knowledge base in developmental disabilities occupational knowledge, and computer skills.

Areas of Responsibility

Program Support

  • Primary duties in Therap include managing medical events including data entry and the processing Physician Orders and General Event Reports.
  • Provides support to Host Home Providers with medical consults.
  • Create service events and updates spreadsheets with information obtained from service plans.
  • Assist with data entry, data collection, data management and reporting in documentation system.
  • Maintains accurate rosters and information for people accepting services for programs
  • Collects and reviews annual and revised customer service plans to ensure current authorization is on hand for all services provided by contractors
  • Maintains and shares with the team an accurate list of expired service plans and communicates authorization updates to all.    
  • Assists Invoicing Coordinator and Finance Specialist with collection of incoming invoicing documentation

Department Support

  • Priorities and schedule department meetings and training rooms will be set according to department priorities. 
  • Support Contract Specialist with ongoing quarterly training for the Host Home Providers
  • Support the department with scanning, copying, mailing, material preparation, meeting space coordination and other general office duties.
  • Develops and maintains training manual for the Program Assistant position.
  • Provide back up coverage for the RMHS receptionist as needed.
  • Answer and direct outside phone calls for the department.

  • Ability to work independently.

  • Ability to prioritize and handle multiple tasks.
  • Strong Computer skills, and knowledge of Microsoft Office

Requirements/Qualifications
  • High School diploma or GED equivalent
  • Proficient in Microsoft Office
  • Valid driver’s license and proof of insurance
