The Program Coordinator plays a critical role in advancing Adam’s Purpose’s mission by ensuring families have timely access to culturally responsive grief and mental health support services. This position leads participant intake, onboarding, and coordination across programs, reducing barriers to care and supporting consistent engagement from initial contact through program participation.
This role directly supports program delivery by managing participant flow, coordinating logistics, and maintaining accurate data to track enrollment, participation, and outcomes. Through strong coordination and follow-through, the Program Coordinator helps ensure individuals and families are successfully connected to support groups, Healing Circles, personalized care, and therapy referrals, strengthening access and retention across the continuum of care.
Core Responsibilities
1. Intake Management & Participant Onboarding
- Lead the intake process, including outreach, intake calls, onboarding, and enrollment tracking
- Ensure timely and equitable access to services by guiding participants through intake stages
- Monitor program capacity and support appropriate placement into programs
- Maintain consistent, compassionate communication with participants throughout onboarding
2. Program Access & Coordination
- Coordinate scheduling, communication, and logistics to ensure seamless program delivery
- Support outreach and engagement efforts to connect families to services
- Maintain organized workflows that support timely participant movement across programs
- Collaborate with team members to ensure continuity of care and alignment across services
3. Community Engagement & Event Support
- Coordinate logistics for program-related events that increase community awareness and engagement
- Support participant and guest coordination for events and program activities
- Provide on-site support for select events, including occasional Saturday programming (typically 1–2 times per month)
- Track participation and engagement to inform program evaluation
4. Program Readiness & Participant Support
- Ensure participants meet program requirements and are prepared prior to program start
- Support participant retention through proactive communication and follow-up
- Partner with the Program Manager to maintain smooth workflow execution across programs
5. Data Management & Impact Tracking
- Maintain accurate and up-to-date participant records in CRM and tracking systems
- Track enrollment, attendance, and engagement data aligned with program timelines
- Generate reports and summaries to support program evaluation and leadership decision-making
- Ensure data accuracy to strengthen reporting for grants and program outcomes
Required Qualifications & Competencies
Required
- Experience in program coordination, intake coordination, or participant services within a nonprofit, healthcare, or community-based setting
- Experience using CRM or workflow systems (e.g., monday.com, Salesforce, or similar platforms)
- Strong data management skills with high attention to accuracy and detail
- Ability to manage multiple workflows and timelines with consistency and follow-through
- Strong communication and coordination skills when engaging participants, teams, and external partners
Preferred
- Experience in behavioral health, grief support, or community-based programs
- Exposure to event coordination or community engagement
- Familiarity with participant tracking, reporting, or evaluation processes
