Position Summary:
The Development Coordinator plays an important
role in advancing the Development department’s annual goals and initiatives. The
Development Coordinator is primarily responsible for ensuring timely and
accurate gift processing. In addition, the Development Coordinator assists the
Development department year-round on all fundraising efforts, including
fundraising mailings, donor stewardship, records management, research,
proposals, patron events, and the online auction. A major component of this
position will be to provide critical administrative support to the Vice
President of Development and the Development team.
Essential
Functions:
Gift Processing and Records Management:
· Execute timely and accurate gift entry and processing into
Tessitura database, daily.
· Execute timely and accurate donation
acknowledgment letters (tax receipts), daily.
· Execute pledge reminder mailing, monthly.
· Attain proficiency in preparing donor recognition
lists for Annual Report and Festival Program Book, ensuring accuracy and donor
stewardship. Serve as backup to Database
Manager when needed.
· Assist with database maintenance. Create and update Tessitura
records as needed and complete other data hygiene tasks as assigned.
Fundraising Communications
and Collateral:
· Attain proficiency in generating segmented mailing
and email lists to support targeted and personalized donor communications and
campaigns. Serve as backup to Database Manager when needed.
· Responsible for preparation of all fundraising mailings including
creating annual schedule, updating and collecting materials, executing mail
merges, printing documents, set up, postage, labels, and cleanup. This may
include coordination with outside vendors, such as a mailhouse.
· Assist with preparation of development collateral as needed,
including annual fundraising and solicitation materials, thank you notes, final
reports, and other materials as directed.
Department and Administrative Support:
· Track all departmental expenses; update budget accordingly and provide accurate records to Finance department.
· Manage development department inbox (development@bravovail.org) and respond to inquiries from donors. Answer development department phone calls.
· Check RSVP email and voicemail and update all event attendance records accordingly.
· Attend Board of Trustee and committee meetings as requested. Assist Vice President of Development with preparation and follow-up.
· Assist with online auction, including procurement of items, writing item descriptions, and other tasks as assigned. Ensure accurate gift
entry and acknowledgment of in-kind donations and financial support related to
the auction.
· Provide support for development events as directed, including Soirées, donor benefit, cultivation, and stewardship events and more, during the Festival season and throughout the year. Tasks may include creation of nametags, event set-up, check-in, on-site event support, and tear-down.
· Assist with the implementation of discovery initiatives and strategies to identify and cultivate prospective new donors.
· Assist with prospect research, including providing iWave profiles and conducting research as requested.
· Assist department with general office tasks and special projects as requested.
Finance Liaison and Support:
· Serve as the liaison between the Development and Finance Departments with ongoing collaboration, including
active participation in regularly scheduled meetings.
· Coordinate with the Finance Department to ensure that all development revenues and expenses are properly
coded and reconciled.
· Assist the Finance Department with annual audit by providing reports and documentation.
Skills and Experience:
· Bachelor’s Degree or experience working in a
non-profit organization, or applicable administrative and customer service
experience;
· Knowledge of/enthusiasm to learn about
fundraising best practices;
· Excellent interpersonal skills; comfortable
calling and writing donors and patrons;
· Extremely well-organized, with strong
attention to detail and ability to meet deadlines;
· Proficient
in Microsoft Office suite of products including Outlook, Word (especially mail
merge), Power Point, Teams, and Excel;
· Experience
using fundraising and CRM software systems is preferred. Tessitura preferred
but not required;
· Ability
to work well in a team environment with a variety of people and personalities;
· Ability to problem solve and take initiative;
· Ability to work long hours, including evenings
and weekends as needed, particularly during the busy summer festival season;
· Professional, enthusiastic, and positive
attitude even in high-pressure situations;
· Interest
in classical music and/or the performing arts.
· Authorization to work in the U.S. is a
precondition of employment (depending on position)
Compensation:
Salary $60,000-$65,000
