Job Summary:

The Administrative Assistant role provides a wide variety of administrative and organizational support to the Chief Development Officer (CDO) and the Chief Experience Officer (CXO). The Administrative Assistant must possess exceptional written and oral communication skills, strong computer and administrative skills, and must be able to work efficiently and effectively to complete multiple priorities and projects.  This role requires a great deal of professional discretion as well as the ability to handle sensitive or confidential information.

Areas of Responsibility

Essential Functions:

  • Provide accurate, timely administrative support to the CDO and CXO, including scheduling and coordination of various meetings, projects, priorities and timelines.
  • Coordinate and support meetings and teleconferences, including preparation and distribution of agendas, teleconferencing details, minutes and other meeting documents
  • Participate in and support IASLC activities and events as needed
  • Prepare, review and edit written correspondence, reports, printed collateral, etc.
  • Maintain electronic documentation and files of department activities and assignments
  • Assist in the development of efficient processes and procedures for areas of responsibility
  • Assist CDO and CXO with travel arrangements, expense reports, meeting registrations, etc.
  • Assist in conducting research, compiling data or preparing data or presentations


Other Responsibilities:

  • Perform general clerical or administrative duties in support of other departments as assigned
  • Bachelor's Degree
  • 3 or more years of direct administrative support at the management level
  • Advanced computer proficiency, including Microsoft Office Suite, Adobe Acrobat, internal CMS, AMS, or database systems, and virtual conferencing
  • Must possess exceptional integrity, discretion, diplomacy and judgment in handling complex or sensitive information
  • Demonstrated ability to establish relationships and work professionally and effectively with a broad range of people from diverse levels and backgrounds
  • Proven time management and organizational skills
  • Association or nonprofit work experience strongly preferred
  • Must demonstrate a high degree of accuracy and reliability, as well as a positive and cooperative demeanor
  • High degree of professionalism and customer service orientation
  • Must be able to travel domestically and/or internationally if necessary (less than 10%)
