Job Description: 

Wapiyapi is hiring an Administrative Assistant to help drive internal operations and ensure efficiency and effectiveness of its services and programs. This is a unique opportunity to offer broad support to a mission-driven non-profit across a diverse set of tasks and projects through remote 75% and in-person 25%. The ideal candidate is passionate about Wapiyapi’s mission with demonstrated experience in communications, customer service, fundraising, administrative support, and program coordination.

Areas of Responsibility

 As the Administrative Assistant, you will:

  • Provide executive support to the Executive Director
  • Adhere to Colorado licensing requirements, assist in recordkeeping, and ensure necessary documents and records are obtained and up to date
  • Serve as liaison between Camp Wapiyapi, families, volunteer camp staff, and other stakeholders
  • Support organizational strategy and development plans with dedicated support of donor relations
  • Assist with community outreach, recruitment efforts, workplace giving, and informational presentations as needed
  • Support summer program logistics such as camper/volunteer applications, working with summer director staff, vetting volunteers, managing necessary supplies and materials, and assisting in program evaluation
  • Coordinate planning, promotion, logistics, and support for fundraising events to drive donations and attendance
  • Support the identification, cultivation, solicitation, and stewardship of donors for individual and corporate giving, foundations, sponsorships, events, workplace giving, and in-kind support
  • Maintain donor and prospect communications including the gift entry process, accurate and timely acknowledgement letters, tax reports, and monthly reconciliation and reporting
  • Maintain database, create queries and prepare donor reports, perform mail merges, and assist with fundraising campaigns and related mailings
  • Coordination and support communications and oversee marketing channels and digital marketing analytics; maintain and manage content library
  • Help manage and direct volunteers/contractors/interns across a variety of projects and provide support as needed
Requirements/Qualifications
  • ● Impeccable organization and time management skills with the ability to anticipate project needs, discern work priorities, and meet deadlines with limited direction
  • ● Flexibility and agility when handling shifting priorities across seasonal deadlines with the big picture in mind
  • ● Translate stakeholder needs into actionable and achievable tasks
  • ● Knowledge of key fundraising principles with experience in developing sponsorship opportunities, soliciting donations, and managing donor relationships
  • ● Experience working in special events or conference planning
  • ● Proven ability working in database systems, automated email marketing platforms, digital event tools, and familiarity with Microsoft Office, WordPress, and Google Analytics
  • ● Outstanding writing, speaking, and presentation skills
  • ● Ability to work cooperatively and collaboratively with a diverse population and to maintain confidentiality for our campers and families
  • ● Bachelor’s degree (or equivalent experience) in Communications, Business, or similar preferred
  • ● 3+ years of work experience as an Administrative Assistant or related role (preferably at a non-profit organization)
  • ● Demonstrated experience successfully working remotely with minimal supervision in a hybrid (remote/in person) arrangement preferred
  • ● Familiarity with FrontStream, Constant Contact, UltraCamp, and GiveSmart preferred
  • Background checks required by state (paid for by organization)
  • This position requires reliable transportation, a valid Colorado motor vehicle license, proof of motor vehicle insurance, and a good driving record
  • Physical requirements include the ability to exert up to 50 pounds of force; physical condition to enable walking, standing, sitting, stooping, kneeling, crouching, or crawling; stamina to be on feet and active; ability to speak or excha
Compensation/Benefits
Compensation: 

Total compensation for this role is market competitive including a base salary range of $40,000 – 45,000
