Job Description: 

Under the direct supervision of the Director of Special Education, the administrative assistant will be responsible for accurate data collection and reporting.  The assistant will maintain accurate educational reports and will provide documentation and information to both internal and external partners.  The administrative assistant will provide clerical support to the Director and support the educational team’s needs as requested.

    Duties and Responsibilities:

    • Manage and update educational components of EVOLV
    • Serve as a contact for off-site programs, CDE and school districts
    • Prepare and maintain and updated class lists 
    • Prepare and distribute regular report cards to students, schools and collateral contacts
    • Prepare and distribute new student contracts to school districts and outside agencies
    • Collaborate with the admissions department to secure necessary education paperwork, determine education status, determine school district of residence
    • Assists the Director of Special Education in all required reporting including 6B and IDEA part B
    • Send notification of placements to districts and request IEPs and transcripts for all new admissions
    • Update education records following each IEP and PLP and mail revised documents 
    • Collaborate with finance department on all education department billing
    • Prepare and submit to CDE and districts accurate attendance information for all students (main campus and community programs)
    • Complete and submit accurate information to CDE for October and December counts
    • Provides support for teachers and instructional staff with records requests
    • Assist the department with the preparation for on-site monitoring visits
    • December reporting of special education staff, full SPED student discipline reporting, full SPED student count reporting
    • Manage and update all student information in Infinite Campus
    • Manage and distribute all IEPs to collaborating school’s parents and through the Enrich data pipeline
    • Support the coordination of  transportation with day treatment partners
    • Responsible for requesting and sending all IEP records
    • Represents Tennyson Center for Children at all CDE Town Hall Meetings
    • Represent Tennyson Center for Children at all Enrich meetings
    • Respect racial, ethnic and cultural differences of all clients and staff
    • Other duties as assigned
    Requirements/Qualifications
    • Bachelor’s Degree in Business or related field and/or extensive experience in accounting preferred
    • Able to take initiative to work independently and take initiative to accomplish tasks with little support
    • Skills in technology including MS Excel, MS Word, accounting and bookkeeping software, and data base software or have the skills to teach themselves how to navigate new software and applications independently
    • Experience working in school systems in accounting and/or data based management preferred
    • Maintain the integrity of confidentiality and code of ethics with all work responsibilities
