Job Description: 

JOB DUTIES

The job duties of this position are performed personally, in cooperation with your supervisor, and/or in coordination with other staff. Additional work functions and duties may be assigned.

Administrative Support

  • Provides administrative support to CEO to include filing, processing invoices, coding expenses, completing expense reports, coordinating contract review,
  • Acts as first point of contact to the CEO
  • Manages CEO email and mail inboxes, including reading and responding on CEO’s behalf as appropriate
  • Creates and distributes meeting agendas
  • Records, distributes and files meeting minutes for internal and external meetings
  • Drafts letters, emails and other communication in appropriate tone to reflect voice of the CEO
  • Provide calendar management, prioritizing inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements
  • Works closely and effectively with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
  • Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CEO updated.
  • Set-up and prepare meetings involving the CEO, including meal/food requests, room reservations, AV equipment, etc.
  • Primary point of contact for various staff meetings including establishing and sending agendas, planning for future agendas, scheduling speakers, planning agendas, and ensuring appropriate communication in advance and follow-up from meetings
  • Coordinate and book CEO and other key staff travel
  • Prepare various presentations as requested
  • Maintain working knowledge of daily operations of Urban Peak
  • Ensures that the CEO’s bio is kept updated and responds to requests for materials regarding the CEO and the organization in general
  • Maintains discretion and confidentiality in relation to all aspects of assigned duties
  • Other duties as assigned.

 

Board of Directors Management

  • Acts as liaison with Board of Directors
  • Prepares and distributes Board packet and agenda prior to board meetings
  • Coordinates all Board-related logistics for remove and in-person meetings, including but not limited to food purchase and preparation, printing, scanning, organizing, etc.
  • Manages board communication, annual board schedule for all committees and full board
  • Manages new board member onboarding and annual board commitment paperwork
  • Maintains official record of all board meeting minutes, follows Roberts Rules of Order for Board meeting documentation
  • Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.
  • Maintains discretion and confidentiality in relationships with all board members

 

Project Management

  • Plans, coordinates and executes small to mid-size projects as directed by the CEO
  • Coordinates with Senior Leadership Team and other staff members on meeting schedules, project assignments and follow up; ensuring projects are running smoothly and remaining on track to meet specific deadlines
Areas of Responsibility

QUALIFICATIONS   

  • Associate’s degree or two (2) to three (3) years of experience in Executive Assistant role
  • Bachelor’s degree preferred
  • Lived experience reflective of the youth we serve encouraged but not required, to include:
    • Lived experience of working through substance use, mental health, and/or physical health barriers, or experienced homelessness.
  • Ability to maintain high–degree of confidentiality
  • Excellent organization skills
  • Tremendous attention to detail
  • Scheduling time management
  • Strong communication skills; both written and verbal
  • Ability to manage multiple tasks effectively under pressure with attention to detail
  • Must be computer proficient and possess a thorough knowledge of Microsoft Office Suite (e.g. Outlook, Word, PowerPoint, and Excel)
  • Understanding of the provision of and commitment to trauma informed care and positive youth development
  • Must be insurable as a driver on Urban Peak’s auto liability policy in order to conduct business on behalf of the agency
  • Must pass both federal and state background checks
  • Must pass pre-employment TB screening
  • Must be vaccinated for COVID-19 by September 30, 2021

WORK SCHEDULE  

This is a full-time, onsite position.  The typical work schedule is Monday – Friday; 8:00 a.m. to 5:00 p.m.  This position may require some weekends and/or evenings to support the needs of the agency.

COMPENSATION & BENEFITS 

As a fully vaccinated (for COVID-19) new employee of Urban Peak, you will receive a five hundred dollar ($500) sign on bonus in two disbursements. You will receive a two hundred fifty dollar ($250) gift card on your first day of employment, and a two hundred fifty dollar ($250 - tax deductible) bonus included in your paycheck on your six-month employment anniversary.

The salary range for this position is $24.04 to $27.88 per hour.
