HERS (Higher Education Resource Services) seeks to hire a talented, motivated, self-directed, team-oriented individual with excellent communications and relationship management skills to serve as the Executive Assistant to the President and Board of Director Relations Coordinator.

HERS is a dynamic and independent non-profit dedicated to creating and sustaining a community of women leaders through various strategies with a special focus in higher education. HERS alumnae include over 6,000 women on approximately 1,200 campuses in the U.S., as well women from institutions in Canada, South Africa, Uganda, Nigeria and other nations.  HERS is located on the campus of and affiliated with the University of Denver.

The Executive Assistant and Board Relations Coordinator will play a critical role in our organization by providing exceptional administrative support to the President to ensure that the President operates efficiently and effectively. Specifically, the Executive Assistant and Board Relations Coordinator will manage the President’s email, travel, and calendar; prepare for meetings that include the President; provide support for our Board of Directors; and oversee multiple tasks that require unwavering, close attention to detail. She/he plays a critical role in managing board meetings, documentation, and activities. The Executive Assistant and Board Relations Coordinator will also be tasked with special projects at the direction of the President.

Areas of Responsibility

The successful candidate will provide executive-level administrative support to the President of HERS and the HERS Board of Directors. She or he will function as an important member of the HERS team focused on our mission to advance women and those who identify as women within the higher education sector. This position is expected to engage professionally and collegially with other staff, faculty, the women and institutions that we serve alumnae, the community, sponsors, partners, and other members of our community.  This position reports directly to the President of HERS. In addition, the ideal candidate must have a solid understanding of navigating basic office equipment and protocols, elevated social skills, project coordination experience and the ability to work well with all levels of internal and external management and staff, as well as outside clients and vendors with an emphasis on proactivity and confidentiality.

Essential Functions

70% - Executive Administrative Support

  • Provide full administrative support for President, including assistance with correspondence, scheduling, travel, expense reports, strategic initiatives, university and professional society collaborations, and public engagement.
  • Provide support to the President with board relations
    • Communications
    • Meeting logistics
  • Create and deliver high-quality professional reports, presentations, and other documents for internal and external audiences
  • Serve as a strong liaison and provides excellent customer service to HERS staff, campus colleagues, alumnae, donors, sponsors, and other stakeholders
  • Provide support to the President in external relationship development

20% - Board of Directors Relations Coordinator

  • Prepare, record, own documents for board meetings
  • Provide support to the Board Chair as needed
  • Managing Board committee needs

10% - Special Projects

  • Editorial assistance with writing and presentations
  • Research and prepare reports on specific topics
  • Support for special projects as assigned
  • Bachelor Degree
  • Minimum of 3 years' experience as an administrative assistant supporting a C-Suite executive
  • Ability to work in a high-performance setting
  • Detailed oriented and highly organized
  • Exemplary work ethic
  • Excellent written and oral communication skills
  • Ability to gather and analyze information as needed for presentations and reports
  • Strong computer skills including Microsoft Office applications (e.g. Word, Outlook, Excel, and PowerPoint)
