The Scheduler performs clerical and scheduling activities that facilitate The Independence Center (The IC) operations. These activities include coordination of employee schedules with client wants and needs and processing intake information.  Performs visits as a backup caregiver as needed.

Areas of Responsibility
  • Maintains schedule for services requested and provided to The IC clients for CNAs, PCAs, PCWs and Homemakers
    • Assures that client visits are staffed within established preferences and employee availability
    • Completes chart documentation as needed
    • Provides appropriate notification of schedule to employee, client, supervisor, and others as appropriate
  • Provides direction to field staff and communicates with supervisors as needed to assure safe and effective coverage of client needs
    • Assigns staff to clients as directed by the care plan and service request
    • Assures employees receive complete and accurate directions and information about client needs
    • Reports scheduling changes to supervisor. Monitors employee performance in areas of dependability, responsiveness, timeliness and client needs
    • Participates in the evaluation and performance review of field staff
    •  Follows up with employee on scheduling problems encountered by the on-call staff
  • Participates in determining hiring needs
    • Minimizes substitution of employees and maximizes permanent coverage
    • Maintains adequate numbers of on-call staff
    • Notifies Supervisor of staff needs
  • Performs CNA, PCA, PCW and HMK visits as needed which includes on-call visits
  • Manages the on-call phone every other week or as needed and in accordance with the CNA Scheduler on-call policy
  • Performs job in compliance with The IC policies and procedures as well as community and professional standards
    • Accepts responsibility in accordance with the role of the Scheduler
    • Assures compliance with applicable state and federal standards, including caregiver checkoffs
    • Accepts responsibility for personal and professional development
  • Maintains positive caregiver communication
  • Assist with payroll process
    • Manage administrative activity for pay processing
    • Update schedules daily as visits are changed or marked missed  
  • Maintain Colorado CNA License & CPR certification
  • Completes 12 annual Continuing Education Units (CEU)
  • Attends Home Health meetings for care coordination and admission requirements
  • Maintain confidentiality as outlined in The IC Employee Handbook and work within the confines of HIPAA regulations
  • Participates in The IC’s ongoing quality improvement activities
  • High school diploma; advanced education desirable
  • Scheduling experience preferred
  • Knowledge of medical terminology or a general medical background desirable
  • Current Colorado CNA license required
  • Intermediate knowledge of Microsoft Office, Word, Excel, and Outlook
  • Current driver’s license, valid vehicle insurance, safe driving record and reliable transportation
  • Current CPR certification
  • Current TB screening (provided upon hire)
