Reports to: Senior Manager of Finance & Operations

Status: Full time; OT Non-Exempt

Salary Range: Hiring range of $47,000 - $52,000 per year

The Operations Department provides back-office support for human resources, finance, IT, and facilities for the organization. This position will work closely with all other team members in the Operations Department and support those in other departments within the organization.

Job Summary

The Operations Coordinator performs comprehensive administrative functions in general operations management, including office and administrative coordination, vendor and building management relations and communications, and equipment/supplies inventory and purchasing. This position will also provide administrative support for the human resources function within the organization.

 

Areas of Responsibility

Operations

  • Handle organizational purchasing and oversee vendor management
  • Handle day-to-day communication with outsource IT vendor
  • Support external communications including mailings, preparing outgoing mail and distributing incoming mail
  • Support organization with filing, both physical and electronic, and general office organization
  • Order and manage office supplies and equipment for the office as well as remote workspaces
  • Serve as a liaison to building owner and coordinate all building-related requests
  • Coordinate logistics (such as venue and refreshments) for all-staff meetings and events, both in-person and virtual
  • Monitor and respond to general office voicemail and email inquiries
  • Other special projects as assigned by Senior Manager of Finance and Operations

Human Resources

  • Develop and support regular internal staff communications
  • Maintain calendar for staff meetings, holidays, and other org-wide events
  • Other special projects as assigned by Senior Manager of HR
Requirements/Qualifications
  • Extremely well-organized and efficient in managing multiple responsibilities
  • Capacity to think and problem solve creatively
  • Aptitude to identify and initiate efficiencies and guide staff through operating changes
  • Exceptional interpersonal and ethical communication skills to support, engage, and collaborate with a variety of work styles, diverse backgrounds, and personalities

  • Proficient in all Microsoft Office products including Word, Excel, Teams, PowerPoint, SharePoint, and Outlook
  • Valid driver’s license and daily access to reliable vehicle required
  • Preferred, not required: At least four years’ experience as an administrative professional, including office management preferred.
  • Preferred, not required: Experience working with a diverse and multilingual workforce and communities a plus.
  • Preferred, not required: Spanish-language fluency a plus.
Compensation/Benefits
Compensation: 

Range for this position is $47,000 - $52,000, depending on qualifications and experience.

Work Environment 

  • Part of a dynamic and diverse team that engages in equity conversations and training
  • Work hours are typically 8:30 am – 5 pm, with occasional early, late, and weekend hours 
  • To the extent that work commitments fall outside of the standard work hours, flex time will be provided.
  • This position will operate in hybrid fashion, both in-person and remote through Microsoft Office platforms.
  • Ability to work at a computer, standing or seated, for several hours.
  • Repetitive tasks.
  • Ability to lift or transport 30 pounds on occasion.
