ABOUT BIG BROTHERS BIG SISTERS OF COLORADO

Since 1918, Big Brothers Big Sisters of Colorado (BBBSC) has operated under the belief that inherent in every child is incredible potential. As part of the nation’s largest donor- and volunteer-supported mentoring network, Big Brothers Big Sisters of Colorado makes meaningful, monitored matches between adult volunteers (“Bigs”) and children (“Littles”), ages nine through young adulthood in Colorado. We develop positive relationships that have a direct and lasting effect on the lives of young people.

BBBSC serves youth through a portfolio of mentoring programs.

  • Community-based is a traditional mentoring program. Mentee/mentor matches determine activities of mutual interest and meet two to four times per month.
  • Sports Buddies is an innovative mentoring program started by BBBSC in 2000. Mentee/mentor matches meet one to two times per month for sports-based activities that are planned, scheduled, and overseen by BBBSC staff.
  • The mentor2.0 program matches youth attending a partner high school one-to-one with an adult mentor starting in high school and through the first year of post-secondary education or training. Matches in mentor2.0 communicate and build their relationship through weekly email exchanges using the research-based “College Ready” curriculum.

OVERVIEW

Provide support to the People and Operations department as well as limited support for the President/CEO and VP of Programs.  This position will support the overall logistics of the office including, but not limited to, reception of department visitors, scheduling and calendar maintenance, performing office management assessment and actions. This position will be an integral part regarding employee engagement as a culture champion.

Areas of Responsibility

RESPONSIBILITIES

CEO Executive Assistant Support (~10 hours per week)

  • Scheduling and Management of CEO Calendar for all appointments both internal and external
  • CEO event registration
  • Proofreading and basic editing of CEO presentation and reports
  • Prep and support of CEO for community-based events (non-development) e.g., banners, swag, supplies,

Operations Support

  • Manage front desk operations to include all incoming guests.
  • Maintain a schedule for oversight and directing incoming phone calls.
  • Oversees the acquisition, distribution, and storage of company supplies and shared support services such as mailing, printing, and copying; security; office related vendor relations (copier, water, supplies, office décor) and cleaning and maintenance.
  • Main contact for office logistics to include but not limited to building maintenance, tech support, and phone support.
  • Oversee, organize, and track BBBSC swag.
  • Support implementation and adherence to office COVID policies.

Basic HR Support

  • Support initial recruitment, screening, scheduling of interviews, communication with candidates, follow up, background check and onboarding processes, performance management and off boarding.
  • Create staff meeting agenda with direction from DPO/CEO and scribe meetings.
  • Document and file maintenance.
  • Support HRIS/Payroll database management.

Employee Engagement and Culture Champion

  • Serve on Staff Appreciation Committee (SAC).
  • Create monthly staff newsletter.
  • Oversee employee recognition, birthdays, and other milestones.
  • Along with the SAC committee and sometimes CEO brainstorm, plan and organize logistics for staff appreciation, outings, and celebration events.
  • With direction and support from the Leadership committee support staff kickoff events.
  • Planning and logistics for all staff professional development.
  • Support the DPO with creating and Employee Engagement, Professional Development and Employee Encouragement budget and managing receipt collection, filing and reporting.

Programming Administrative Support (~8 hours per week)

  • Administrative support as directed by VP of Programs and ED of Pikes Peak on an as needed basis (i.e., data entry, create flyers, writing external communications)
  • Support logistics and execution of key programming events.
  • Attend programming meetings regularly.
  • Supporting programming administrative evaluation efforts.
  • Supporting in-kind donations and needs in partnership with program staff.

Contribute to team effort by accomplishing other duties as assigned.

Requirements/Qualifications
  • A minimum of 3 years of experience and proven track record of success. Non-profit experience a plus.
  • A passion for the BBBSC mission and heart for public servant leadership.
  • Outstanding organizational and planning skills – capacity to imagine, plan and implement.
  • Excellent written, verbal, and computer skills.
  • Attention to detail, ability to take direction, and a commitment to quality work.
  • Prompt, flexible, willingness to learn and organize.
  • Enjoys working with a team and collaborating with others.
  • Knowledge of basic administrative and business principles, and clerical systems and procedures.

We look at your knowledge, skills, and experience along with your compensation expectations and align that with our company equity processes to determine our offer ranges.

 

We value and want to support our team members, and are proud to offer a comprehensive compensation package that includes the following:

  • Salary range for this position is $44,000 to $52,000 dependent on experience.
  • Excellent benefits including company paid medical, dental, vision for the employee.
